Important Exhibitor Deadlines

***DEADLINE EXTENSION: The deadline for contracted and paid exhibitors to be listed in the Show Program & Exhibit Guide has been extended to January 10, 2012! The deadline for all exhibitors to add and/or update data for the printed show guide has been extended to January 16, 2012!***

 

Now

  • At this time, a 50% deposit is due within 2 weeks of submitting an application and contract for exhibit space.

September 1, 2011

  • Exhibitor badge registration opens online (booth reservation does not automatically register exhibitors for badges – exhibitors must register for badges separately)
  • HPBA exhibitor housing block opens online
  • 20% cancellation fee (20% of total exhibit fee) applies to all cancellations made by September 1, 2011. Cancellation of exhibit space must be sent in writing by September 1, 2011.

November 1, 2011

  • All exhibitors contracted and paid by this date will be listed in the HPBExpo Complete Program and Registration Guide. This brochure is mailed to our extensive database of prospective attendees.

November 9, 2011

  • Full payment due for all exhibiting companies. All contracts submitted prior to November 9, 2011 require a 50% deposit; all contracts submitted after November 9, 2011 require full payment.

November 30, 2011

  • 50% cancellation fee (50% of total exhibit fee) applies to all cancellations made between September 2 and November 30, 2011. Cancellation of exhibit space must be sent in writing by November 30, 2011. No refunds on exhibit space after this date. Exhibitors shall be liable for any outstanding cancellation or downsize fees.

December 31, 2011

  • Deadline for Outdoor Burn Area Fuel Requirements Form
  • Deadline for Indoor Burning Exhibit Appliance Specification Form

January 1, 2012

  • Deadline to pay HPBA membership dues. If dues are not paid by this date, exhibit invoices will be adjusted to the non-member pricing structure. Find membership information on the HPBA website – www.hpba.org.

January 3, 2012

  • All exhibitors contracted and paid by this date will be listed in the HPBExpo Show Program & Exhibit Guide, along with a company profile, if provided. Brands and/or product categories that have been added to company’s web listing by January 9 (brands/product categories are added by the exhibitor) will appear in the brands and product category indexes of the HPBExpo Show Program & Exhibit Guide. Contact HPBA if you do not have a user name and password to update your listing.

January 9, 2012

  • Deadline to update exhibitor online listing for HPBExpo Show Program & Exhibit Guide printing

February 1, 2012

  • Trailer exhibits for Outdoor Burn Area must arrive

February 24, 2012

  • Targeted Outdoor Burn Area move-in begins
